Hunt Groups and Call Queues
Most businesses that think they need a contact centre need a hunt group. It is a fraction of the cost and it fixes the actual problem, which is calls landing on one desk.
Request a quoteThe cheap fix that solves most of it
A hunt group rings several phones for one number, so a call is not the property of whoever happens to be at that desk. That single change fixes the majority of missed-call complaints without anything more sophisticated: calls ring three people rather than one, whoever is free picks up, and nobody has to shout across an office. A queue adds the next piece — callers wait in order and hear that they are waiting, rather than a busy tone or an unanswered ring.
The distinction worth understanding is between ringing everyone at once and ringing people in order. All at once is loud but effective for a small team who all do the same job. In order — sometimes weighted so the least-recently-busy person gets it — spreads the work fairly and is better where the team is larger or where some people are meant to be a fallback rather than a first port of call. Both are configuration, not an extra product.
What a hunt group is not is a contact centre. If you need skills-based routing, live wallboards, call recording tied to agent identity, or webchat and email in the same queue, you need the bigger platform and we would say so. But a great many businesses are told they need that when they have twelve staff and one number that rings on one desk, and the honest answer costs a great deal less.
How the ringing can work
All at once
Every phone in the group rings together. Loud, simple, and effective for a small team doing one job.
In order
One phone, then the next. Useful where some people are meant to be the fallback rather than first.
Longest idle first
The person who has been free longest gets the call, so the work spreads rather than landing on the quickest.
Queue with position
Callers wait in order and hear they are waiting, instead of a busy tone or a ring that never ends.
Overflow
After a set wait, calls move on — to another group, a mobile, or a voicemail somebody actually checks.
Basic reporting
How many calls, how long they waited, how many gave up. Enough to know whether the group is sized right.

When a hunt group is enough
- One main number currently ringing on one desk — the most common problem there is
- A small team who all handle the same kind of call
- A business missing calls at lunchtime rather than all day
- Anywhere a second person could answer but is not currently rung
- Not enough: skills-based routing, live wallboards, or webchat and email in the same queue
- Not enough: recording tied to agent identity for compliance purposes
Hunt Groups and Call Queues — Common Questions
What is the difference between a hunt group and a queue?
A hunt group rings several phones for one number. A queue holds callers in order when everybody is busy, tells them they are waiting and connects them to the next free person. Most businesses want both, and both are configuration on a cloud phone system rather than an extra product to buy.
Do we need a contact centre instead?
Usually not. A contact centre earns its cost when you need skills-based routing, live wallboards, recording tied to agent identity, or webchat and email in the same queue. A business with a dozen staff and one busy number almost never needs any of that, and we would rather configure a hunt group than sell you the bigger platform.
Should all phones ring at once?
For a small team who all do the same job, yes — it is simple and it works. For larger teams, or where some people are meant to be a fallback, ringing in order or sending the call to whoever has been free longest spreads the work better and stops the fastest person absorbing everything.
What happens when nobody in the group answers?
You decide in advance: overflow to another group, to a mobile, or to voicemail. The important part is choosing something rather than letting it ring out, and making sure the destination is monitored. An overflow to an unchecked mailbox is the same as no overflow at all.
Can people join and leave the group during the day?
Yes. Staff can log in and out, so somebody on a day off or in a meeting is not being rung. This matters for the in-order and longest-idle patterns, where ringing an absent phone adds delay for every caller behind it.
Will we be able to see how many calls we miss?
Yes — how many calls arrived, how long people waited and how many gave up before being answered. That is usually the number that settles the argument about whether the team is sized right, and it is worth having before deciding to buy anything larger.

Ask what your missed calls actually cost
If the answer is real money, the fix is usually far cheaper than the software people try to sell for it. Tell us how many people could answer and how many currently do, and we will tell you whether a hunt group covers it.
