Phone Systems Across Multiple Sites
Several offices behaving as one phone system: internal extensions between sites, calls transferred without dialling out, and one set of rules instead of one per building.
Request a quoteOne system, several buildings
Businesses accumulate phone systems the way they accumulate offices — one at a time, each bought separately, each with its own numbers, its own supplier and its own way of doing things. The result is that sites cannot transfer calls to each other, head office cannot see what happens at the branches, and every change has to be made several times in several places by several people.
A cloud phone system removes the distinction between sites entirely. Extensions are internal across the whole business regardless of building, so a call can be transferred from Bolton to Basingstoke exactly as it would be transferred across a room. Rules — hunt groups, out-of-hours routing, holiday closures — are set once and apply everywhere, or set per site where sites genuinely differ. And a new office is added as a configuration change, not a project.
Each site keeps its own local numbers, which matters more than it might sound: a branch that has advertised an 01204 number for fifteen years should keep it, even though the system is central. The numbers stay local, the platform is shared, and callers cannot tell the difference. What changes is that the business stops running four systems and starts running one.
What changes across sites
Internal extensions everywhere
Dial a short extension between buildings. Calls between sites cost nothing and never leave the system.
Transfer between sites
Move a call from one office to another exactly as you would across a room, without dialling out.
Local numbers kept
Each branch keeps the number it has advertised for years. The platform is central; the numbers are not.
Rules set once
Hunt groups, out-of-hours and holiday routing applied across the business, or per site where sites differ.
One view of everything
Call volumes and missed calls across every site in one place, rather than four reports that do not match.
One bill
One supplier, one invoice, one renewal date, instead of four contracts ending in four different months.
Who we work with
We are independent of any single network or vendor, so the recommendation follows the requirement.
Telephony platforms
Hosted, on-premise or Microsoft Teams — the right answer depends on the building, not on what we prefer to sell.

The problems it actually solves
- Sites that cannot transfer a call to each other without dialling an outside number
- A change that has to be made four times because there are four systems
- Four contracts with four end dates, so nothing can ever be reviewed together
- Head office having no idea how many calls a branch misses
- A new site taking weeks to get a phone system rather than days
- Staff who work across sites needing a different extension in each one
Phone Systems Across Multiple Sites — Common Questions
Do sites keep their local numbers?
Yes, and they should. A branch that has advertised an 01204 number for fifteen years keeps it, even though the platform is central and shared. Callers cannot tell the difference; what changes is that the business runs one system instead of four. Numbers move by porting, so nothing printed becomes wrong.
Can staff dial between offices as internal extensions?
Yes. Once sites are on one system, every extension is internal regardless of which building it is in, so calls between offices never leave the platform and cost nothing. Transfers work the same way — moving a call from one site to another is the same action as moving it across a room.
What if sites need different rules?
They can have them. Rules can be set once and applied everywhere where sites are genuinely alike, or set per site where opening hours, teams or out-of-hours arrangements differ. The point is that it becomes a choice rather than an inevitability of running separate systems.
How long does it take to add a new site?
A configuration change rather than a project, provided the site has a working internet connection. Handsets are pre-configured before they are sent, so the new office plugs them in and they register. The longest lead time is usually the connectivity, not the phone system.
Do we have to move all sites at once?
No, and it is often better not to. Sites can move as their existing contracts end, running alongside the old systems in the meantime. The internal-dialling benefit only arrives once sites are on the same platform, so it is worth planning the order rather than moving whichever happens to expire first.
Can head office see what happens at the branches?
Yes — call volumes, answer rates and missed calls across every site in one place rather than several reports that do not agree. That visibility is usually the reason multi-site businesses consolidate, more than the cost saving, because it is the thing that is impossible with separate systems.

Count your systems, then count your sites
If the first number is bigger than one, there is usually money and effort being spent on the difference. Tell us where your offices are and what each one runs, and we will map what consolidating actually looks like.
