Safeguarding-led communication

Safeguarding depends on being able to raise the alarm, reach the right person and leave a record of it — quickly. Safe access: filtering, connectivity and cyber security

Filtering and cyber security are the same problem seen from two ends — one keeps pupils away from harmful content, the other keeps attackers away from the school. Both sit on the connectivity underneath, which now carries safeguarding platforms, cloud admin systems, online learning and parent communication as well as lessons. We design filtering into a wider security approach rather than dropping in a standalone box, and it can either sit on the network you already have or be run entirely by us.

Lockdown, PA and Martyn's Law readiness

A lockdown system is only useful if it serves a procedure people already know, so the starting point is your site and your existing emergency plans, not a product. What gets specified after that depends on the estate: wired where the cabling is already in, wireless where buildings are temporary or the site keeps changing, IP over your own network where announcements need aiming at specific zones. The same design scales from a small primary school to a multi-building campus or a university.

How does web filtering fit our safeguarding duties?

Blocking is only half of it — you also need visibility of what is being attempted, and by whom. Content categorisation identifies and blocks harmful or inappropriate material automatically, including threats that have only recently appeared, while real-time monitoring and reporting shows how the network is being used and surfaces concerns to the staff who have to act on them. That reporting side is what keeps you aligned with DfE and safeguarding guidance. Access rules can be set by age, role or learning requirement rather than applied identically to every user, and further and higher education settings can go down to user-level permissions. Where protection needs to follow people off-site for remote and hybrid learning, filtering is delivered from the cloud; where the priority is control on the premises, it goes into your existing network or firewall. Either way it is designed as one part of a wider security approach, running alongside your current setup or fully managed by us.

Will the phone system work with our MIS and CPOMS?

Yes. Evonex has MIS integrations including Arbor, Bromcom, CPOMS and Wonde, and we integrate with SIMS as well. Day to day that means the caller's MIS contact details appear on screen for whoever picks up — as it rings, during the call and afterwards — and a safeguarding concern can be logged into CPOMS from Evonex Connect at the point it is raised, rather than noted on paper and typed up later. Pupil records and updates sync automatically, so there is less manual keying, fewer duplicates and less chance of somebody working from an out-of-date record. Integrations do hit obstacles: older platforms with limited compatibility, data that has to be cleaned and mapped before it moves, the extra care sensitive pupil data needs under GDPR and safeguarding rules, and internal IT teams with no spare hours. We handle the mapping and the rollout, and you have a named local director to go to rather than a queue.

How does a lockdown alert actually reach everyone on site?

Through dedicated emergency buttons that start the procedure in a single action, and a paging system that carries it across the site. IP systems run over your existing network, so an announcement can be aimed at one zone — a wing, a building — or sent everywhere at once. Wired systems suit sites where the infrastructure is already in place; wireless suits temporary buildings and campuses that keep expanding. Distinct tones and wording agreed in advance mean staff and pupils know which procedure is running without anyone stopping to explain it, and classroom handsets give two-way communication back to the office while it is happening. The order of work matters: assess the site and its risks, design against your existing safeguarding plans, then train staff and hand the system over properly.

It covers the communication and emergency response side. We work with leadership teams on three things: emergency communication readiness, lockdown alerting and escalation, and governance and compliance. In practice that means raising an alert and escalating it quickly, getting clear instructions to staff and students wherever they are on the site, and coordinating a response across buildings instead of room by room. Alarms and alerting sit inside the phone platform as standard, so the system used for everyday calls is the same one that runs an incident — there is no second system for staff to remember under pressure. It is not the whole of the duty, which also takes in procedures, training and physical measures, but it is the part that depends on communication working.

What are absence and bullying lines, and are they worth setting up?

They are two dedicated numbers, and between them they take load off reception and improve your records. The absence line answers automatically and prompts parents through the details, so a call can be made at any hour and the information arrives accurately, delivered by email or as an alert on a handset. That flattens the morning spike, removes the manual note-taking, and means nothing is missed while the switchboard is busy. The bullying line is separate and confidential: calls go straight to secure voicemail, and messages are passed discreetly to designated staff only, giving pupils and parents a private route to raise something early. Both leave an audit trail behind safeguarding concerns, which a general reception line cannot produce.
